Documentation Team Lead
Location: Hybrid Schedule

Overview:

This position is responsible for translating the most complex credit approvals and raw information into complete, accurate and legally enforceable contracts. In addition, this position will be a team lead supervising 3-5 transaction analysts and providing advice, guidance and training to the team, managing the team and workflow and recommending operational efficiencies to management.

Primary Responsibilities:
  • Prepare legally binding documents for customer’s execution for the most complex transactions with the greatest risk to the organization.
  • Know the laws and regulations for each type of assets and locations to make sure that has a first lien. Is able to analyze and make recommendations to deviate from policy to be able to close on a transaction with a customer.
  • Collaborates with sales, credit, and customer to ensure all legal documents created properly, executed accordingly and any items needed obtain for to be perfected.
  • Represent that the Bank has a first lien and recommend the release of funds for the transaction.
  • Works on the most complex transactions to ensure that the credit approval conditions are met, and appropriate documentation is received. Informs internal and external customers of any problems regarding the processing of the transaction. Closes the most complex loans and leases, ensuring closing requirements are met including in specialty areas such as aviation and marine.
  • Obtains and reviews the liens and lien searches. Obtains releases and subordinations from competing secured parties to obtain first lien. Knowledgeable of the state laws to process titles accordingly. Prepares and processes interim funding for complex or unusual situations.
  • Works primarily on the most complex tasks, utilizing expertise in the purchasing of non-Leasing paper and assignment documentation for third party originations to ensure that will be secured when buying the transaction.
  • Must stay current on all laws, regulations, and compliance issues. Be able to interpret the laws and regulations for each type of transaction.
  • Ensures the data for lease/loan transactions is properly noted on the input worksheets when approving them for booking and that files are documented adequately.
  • Works with sales in the sale of transactions, including but not limited to non-routine transactions to sell the deal that we are perfected on.
  • Ensures the more complex transactions are properly booked and input and that files are documented adequately.
  • Ensures the completion and documentation of all files for submission to doc imaging and collateral departments. Participates in special assignments and projects.
  • Leads, trains and acts as a mentor for advice and guidance to other team members. Assists manager with a variety of other day-to-day activities by providing feedback on performance, monitoring workflow, and providing recommendations to improve operational efficiency.
Supervisory/ Managerial Responsibilities:

Work as both a supervisor and team player and serve as the first line of defense for a unit of approximately 3-5 CEF Transaction Analysts within the CEF Documentation Department. Promote an environment that supports diversity and reflects the M&T Bank brand. Maintain established service levels within assigned unit and address escalations to meet defined business expectations. Perform managerial responsibilities such as input concerning staffing, mid-year and annual performance appraisals, promotions, salary recommendations, performance management and terminations, annual compliance training and other required training classes are completed by the team in a timely manner, and approving PTO time. Serves as a backup for the Departmental Manager when the manager is unavailable.

This position is a resource to others in the group on product knowledge and procedures.

They contribute to the team’s success by implementing solutions to problems on behalf of the manager, lead team discussions, build procedures with their manager’s input and approval and learn and share relevant information with others in the CEF organization to achieve their individual and team goals, which includes working overtime during peak periods.

They must have the ability to manage stress and keep matters in perspective. He/she will set a strong example of an environment that supports diversity and reflects the M&T Bank brand.

Adheres to applicable compliance/operational risk controls in accordance with Company or regulatory standards and policies.

Education and Experience Required:

Bachelor’s Degree and five years of related experience or in lieu of degree, a combined minimum of 9 years higher education and/or work experience.

Education and Experience Preferred Excellent written and verbal skills are needed to communicate to internal and external customers in a professional and courteous manner and the ability to convey moderately complex information in a clear and concise manner.

Specialized knowledge of loan and lease documentation. Excellent analytical and math skills with the ability to evaluate equipment sales contracts, related documents and data.

Excellent organizational skills and attention to detail to maintain a high level of accuracy and meet tight deadlines. Ability to prioritize and complete multiple responsibilities in a highly efficient manner.

Excellent PC skills, including word processing, spreadsheets, internet and leasing software. Ability to learn to use additional programs as needed.

Ability to work well with and train a team. Ability to handle escalated issues using specialized knowledge and experience to make sound decisions.
